DEFINITIONS Airfield – The former military airstrip once belonging to the Seneca Army Depot, now part of Deer Haven Park. The term “Airfield”, as it pertains to this rental document refers to the Rental Area ONLY. Rentable Area – The Rentable Area extends from the center entrance road to the south. The rentable area is approximately 150 feet wide and 2,800 feet long. - NOTE: The northern portion of the runway from the center entrance road north is off limits. Renter – The individual and/or organization that is approved to use the Airfield. Weekday – Any Monday, Tuesday, Wednesday, or Thursday (not including holidays) Weekend day – Any Friday, Saturday, Sunday, or Holiday GENERAL All airfield rentals MUST be initiated with an Airfield Use Request form. Applying for use does NOT guarantee approval. A member of the DHP Property Management team will review the request and reply to the applicant, usually within 72 hours, to either approve or deny the request. A “Day” will begin at 12:01am and will conclude at 11:59pm.
Approval does NOT guarantee your requested dates. Dates are ONLY locked in once DHP has received full payment and a signed agreement.
RENTAL FEES Weekdays - $1,500 per day
Weekend days - $2,500 per day Deer Haven Park will offer a scalable discount when 4 or more days during the calendar year are reserved at the same time.*
- Reserving 4 days in the same calendar year 5% off
- Receive an additional 1.75% off for each additional day, up to 24 days at a 40% discount. Examples: 1-3 days full price. 4 days= 5%, 5 days= 6.75%, 6 days= 8. 5%, 7 days= 10.25%, 8 days= 12%, etc. (See chart at right) *To take advantage of the scalable discount, all dates must be reserved at the same time.
Note that reserved dates can be changed, up to 2 weeks before the event, to another unoccupied date in the future with no additional charge or fee. PAYMENT Full payment must be received at least 10 business days prior to the first event date.
Payments accepted: Business check, cash, money order. To receive the multiple day discount, payment for ALL events being considered to calculate the discount must be received prior to the first event.
RULES Carry-in/Carry-out - The Airfield is a carry-in / carry-out venue. All trash and/or items brought in or made at your event must be taken with you when you leave. The Airfield must be left in a neat and tidy condition when you leave and any barricades and/or gates in place and secure upon your departure.
No Fires or Burning – There shall be absolutely NO fires or burning of trash or any other debris on the Airfield property. This includes campfires or open cooking fire pits. All cooking must be done on approved cooking equipment, stoves and/or fryers.
No Smoking, Drugs, or Alcohol – smoking (including e-cigarettes), possession of drugs, and consumption of alcoholic beverages is STRICTLY PROHIBITED on Deer Haven property, including the Airfield.
I Agree Strict Use, NO Sublet - The airfield property may ONLY be used for the expressed purpose that is listed in the application. Additionally, renters of the airfield may NOT sublet to, or otherwise allow, any individual or group to use any portion of the airfield, regardless of whether any compensation is received. Renters who use the Airfield for uses other than those specified in their application may be subject to a cease and desist on ALL activities and to vacate the premises immediately. Anyone required to vacate before the conclusion of their event will forfeit all payments and fees.
APPLICATION PROCEDURE 1. Review the Calendar to see if your desired dates are already taken. 2. Review our Fees and Discount table to determine the rental fee for the days desired. 3. Open the Application Form, fill it out completely and submit. DHP will get back to you, usually within 72 hours, to let you know if your application has been approved. 4. Send payment to Deer Haven Park in the form of a check, money order or cash no less than 10 business days prior to the event. If approved, DHP will send you an invoice, list of rules and regulations, and an agreement. 5. Read and sign the contract agreement and return it to Deer Haven Park. Once we receive payment and the signed agreement, Deer Haven Park will add your reserved dates to the calendar to hold your dates. I Agree 6. I understand that I may be required to provide Deer Have Park with an $1M insurance certificate naming DHP as a covered party during the dates of your event.

*Deer Haven Park reserves the right to deny application to anyone for any reason and without explanation.
I affirm that I am over the age of 21 and am authorized to sign this agreement. If signing for an organization, I also affirm that I am authorized to sign for the organization making application. By signing this document I agree that I and my guests will adhere to all rules herein, and that violation of this agreement may constitute a breech of contract and may cause me to be evicted from the premises and to forfeit any and all remaining fees paid to Deer Haven Park.
RELEASE In consideration of the services of Deer Haven Park LLC, their agents, owners, officers, volunteers, participants, employees, and all other persons or entities acting in any capacity on their behalf (hereinafter collectively referred to as “DHP”), I hereby agree to forever release and discharge DHP, on behalf of myself, my children, my parents, my heirs, next of kin, assigns, personal representatives, and estate as follows: 1. I acknowledge that the activities involved in the use of any of DHP’s services or facilities entail significant risks, both known and unknown, which could result in physical or emotional injury, paralysis, death, or damage to myself, to property, or to third parties. 2. I expressly agree and promise to accept and assume all the risks existing in these activities, both known and unknown, whether caused or alleged to be caused by the negligent acts or omissions of DHP. My participation in this activity is purely voluntary, and I elect to participate despite the risks. 3. I hereby voluntarily release, forever discharge, and agree to indemnify and hold harmless DHP from all claims, demands, or causes of action, which are in any way connected with my participation in this activity or my use of DHP equipment or facilities, including any such claims which alleged negligent acts or omissions of DHP. 4. Should DHP or anyone acting on their behalf be required to incur attorney’s fees and costs to enforce this agreement, I agree to indemnify and hold them harmless for all such costs and fees. 5. I certify that I have adequate insurance to cover any injury or damage I may cause or suffer while participating, or else I agree to bear the costs of such injury or damage myself. I further certify that I have no medical or physical conditions which could interfere with my safety in this activity, or else I am willing to assume, and bear the cost of, all risks that may be created, directly or indirectly by any such condition. 6. Nothing in this waiver shall obligate DHP to render any service, including first aid, to me. 7. I agree to abide by the rules of the facility and DHP. 8. I also agree that if any portion of this Release Agreement is held to be invalid, that the remainder of this Release Agreement shall continue in full legal force and effect. Jurisdiction shall be and remain in Seneca County, NY.
I affirm that I am responsible for the event I made application for and am signing this waiver on behalf of the event. By signing this document, I acknowledge that if anyone is hurt or property is damaged during my participation in this activity, I may be found by a court of law to have waived my right to maintain a lawsuit against DHP on the basis of any claim from which I have released them herein. I HAVE HAD SUFFICIENT OPPORTUNUNITY TO READ THIS ENTIRE DOCUMENT. I HAVE READ AND UNDERSTAND IT. I AM OF LAWFUL AGE TO MAKE THE AGREEMENTS AND PROMISES CONTAINED IN THIS WAIVER, AND I AGREE TO BE BOUND BY ITS TERMS. |
