WELCOME TO AEROVENTURE!

You might have been told to get your head out of the clouds while you were growing up, but getting your head in the clouds is what AeroVenture is all about. We live, eat and sleep our devotion to getting you flying and to making absolutely certain your experience training with us is fun, exciting, and memorable – for all the right reasons and in every season.

AeroVenture is rooted in the idea that learning how to fly is not difficult; becoming an aviator – the decision maker – is where the challenge resides. We focus on mentoring you, the aviator-in-training, toward becoming the safest and most informed pilot you can be. We do not cater to the rote learning of tasks. We focus on the discovery and understanding of the “why” behind what we do as aviators.

To ensure we meet our goal with every client we train, AeroVenture Flight Team members live by four rules. These rules form our primary mission and promise to our clients.

INITIAL SCHEDULING AND SCHEDULE CHANGES // OTHER THAN CANCELLATIONS

Initial scheduling and schedule changes will be coordinated with the AeroVenture Scheduling Team available at (866) 252 AERO — ext. 706 or by e-mailing Fly@AeroVenture.org.

I understand that my current schedule will always be accessible to me via my Flight Schedule Pro / AeroVenture Dashboard, and that ALL scheduling changes will be confirmed both on my Dashboard and via the e-mail address I provided. As a general practice, AeroVenture typically schedules at least 2 - 3 months in advance.

I also understand that the Flight Schedule Pro system automatically sends a courtesy 24-hour reservation reminder via e-mail for each scheduled reservation.

E-MAIL POLICY AND FLIGHT SCHEDULE PRO NOTICES

I understand that the primary means of communication at AeroVenture is E-MAIL and the NOTICES segment of my Flight Schedule Pro account. I must provide a valid e-mail address to AeroVenture which will be tied to my Flight Schedule account. I will ensure that any e-mail sent via an @aeroventure.org or @flightschedulepro.com address will be allowed to pass through my spam filters.

I agree to check for e-mails from AeroVenture on a periodic basis, as changes to my schedule, school-wide announcements, and other important information will be communicated by means of e-mail or via the NOTICES segment of my Flight Schedule Pro home page.

If under 18, a parent or legal guardian e-mail must be the primary e-mail address on account.

REVIEW OF GENERAL BILLING AND FINANCIAL POLICIES

Our enrolled clients — excluding Discovery Flight and TOP GUN Programs — are required to establish tuition payment accounts within their Flight Schedule Pro self-service portal. Tuition charges for flight training and supplies are deducted from that account on a flight-by-flight basis at the conclusion of each lesson or rental. Hourly rates are handshake-to-handshake and billed at 1/10 hour increments. AeroVenture accepts cash, checks, Visa, Discover and MasterCard. Payment is required upon receipt of services rendered.

Clients are required to maintain a positive (+) balance in their flight training accounts. Funds may be added by logging in to your Flight Schedule Pro self-service account and choosing "Add Funds".

The funds deposited in a client's account are non-refundable. Any pre-payment bonus credits are not available for refund and will be deducted.

The following refund policy applies to all funds in a client’s account:

  • Tuition payments are non-refundable and will only be credited for aviation training.
  • AeroVenture has no obligation to maintain records for accounts more that five (5) years old.
  • Gift Vouchers are non-refundable and valid for one year from date of purchase.
  • Minimum commitment deposits non-refundable for all programs.
  • All sales and tuition payments are final.

Although AeroVenture will make every attempt to notify its clients of any changes in company policy and fee structures, I understand that rates and policies for AeroVenture services are subject to change without notice due to volatility of the market (including, but not limited to, fuel prices, maintenance costs, facility costs, insurance requirements, employment costs, etc).

Current rates are listed under Notices on Flight Schedule Pro and reflected in each billing statement under Transactions. Rates are adjusted annually based upon the rate of U.S. inflation as calculated from data provided by the U.S. Bureau of Labor Statistics.

I understand Aircraft and Instruction rates are accessible to me and updated monthly on Flight Schedule Pro under NOTICES. All Billing is accessible by visiting Flight Schedule Pro —> My Profile —> Transactions.

FLIGHT TRAINING TUITION ACCOUNT

Every client of AeroVenture has a flight account and must maintain a positive balance. Clients who receive funding through third-party financial institutions and lenders will additionally be subject to the terms and conditions of their financial aid agreement and lender policies.

 

  • FLIGHT TRAINING ENROLLMENT: After the completion of the TOP GUN initial entry program, I understand that upon enrollment of the full Private Pilot Certification Course, a minimum initial non-refundable enrollment / commitment deposit of + $1,000 must be made to my Flight Schedule Pro self-service flight account prior to commencement of my training program. This includes a $350 course enrollment fee that unlocks AeroVenture's curriculum for the specified program. This fee will be invoiced and deducted from the initial tuition payment.

 

  • Funds may be added by logging into the Flight Schedule Pro self-service account and choosing Add Funds

 

  • Current flight students / clients in good standing receive priority aircraft booking privileges.​​​​

  • AIRCRAFT RENTERS: Clients who are certificated pilots and seeking rental privileges but are not pursuing flight training must make a minimum initial deposit of + $500. I understand that non-training aircraft rental is subject to scheduled availability for qualified pilots on a first-come, first-serve basis; eligibility for rental is determined by pilot currency, FAA regulations, insurance requirements, and AeroVenture policies and procedures such as, but not limited to, an AeroVenture CFI endorsement of meeting ACS piloting and safety standards.

 

All clients must maintain a positive flight account balance of at least + $300. Our scheduling system does not allow the dispatch of flights if accounts are below the minimum required balance.

ONLINE VIDEO SERIES, TEST PREP, SYLLABUS

I understand that the video series and online test prep is not a substitute for ground and flight instruction.

I understand that I am still legally required by the Federal Aviation Administration to receive and log ground and flight instruction from an authorized instructor per Federal Aviation Regulations Part 61.105, 61.107 and 61.109, and that I am required to demonstrate competency in each of the required topics to my flight or ground instructor in order to remain eligible for certification. 

I understand that my instructor will provide feedback on my performance after each lesson using the online syllabus and associated metrics, and that I will be able to track my progress throughout the program. 

I understand the online video course is a COMPANION to instruction with an Authorized Instructor at AeroVenture, not a replacement or substitute for my required attendance at AeroVenture.

The platform provides material to review at home and on the go before and after flying lessons. I understand that effective training requires diligent study and preparation.

A scheduled lesson for which I am unprepared or have not completed prior assignments may be discontinued by my instructor. The client may be charged the full lesson rate for any discontinuances at the discretion of the management.

I agree to complete all assigned homework and come prepared to each training session with my instructor, and that all scheduled lesson blocks are held rain or shine unless otherwise cancelled by AeroVenture.

CLIENT / APPLICANT RESPONSIBILITY AND RATE OF COMPLETION TOWARD PRACTICAL TEST, INSTRUMENT PROFICIENCY CHECK, OR FLIGHT REVIEW

I acknowledge that I am responsible for mastering the established standards for knowledge, skill, and risk management elements in all Tasks appropriate for the certificate and rating sought. The applicant should use the Federal Aviation Administration (FAA) Airman Certification Standards (ACS) and/or Practical Test Standards (PTS), its references, and the Practical Test Checklist in preparation to take the practical test. (Source: FAA ACS Appendix 5)

Clients seeking a completion of a Flight Review and/or Instrument Proficiency Check, or any other recurrent training, will be held at a minimum to the FAA ACS or PTS standards of the highest certificate and/or rating held.

I acknowledge that each client will progress at different rates due to many factors including, but by no means limited to, individual aptitude, home study habits, prior experience, frequency of training, weather, maintenance, designated pilot examiner (DPE) schedules, safety considerations, and many other personal, emotional, or environmental factors.

Due to a variety of complex factors that go into flight training, completion of a course, program, certificate, or rating is not guaranteed. Estimates of the time or cost required to complete any course of study are based on broad general averages and may not be representative of my individual experience.

LESSON CANCELLATION POLICY AND FEES

ALL LESSONS ARE HELD RAIN OR SHINE, unless otherwise cancelled by AeroVenture. There is always something to learn!

Should you find it necessary to cancel a lesson, AeroVenture requires at least 3 days notice for all scheduled flights and lessons.

If you find it necessary to cancel, please notify us as soon as possible by submitting a Reservation Cancellation Request Form available on your Flight Schedule Pro dashboard under NOTICES / LESSON CANCELLATION REQUEST FORM.

Email, text, or phone calls are not valid / official methods of reservation cancellation.

We adhere to a tiered cancellation policy based on the number of calendar days prior to a scheduled session regardless of scheduled start time. Calendar Day means each day shown on the calendar beginning at 12:00 Midnight, including Saturdays, Sundays and Holidays. The term “day” shall mean calendar day whether or not expressly identified.

  • 2-3 Days: 1/2 Instructor Rate for Scheduled Block
  • 1 Day + Day Of: Full Instructor Rate + 1/2 Aircraft Rate for Scheduled Block
  • NO SHOW: Full Instructor + Aircraft Rate for Scheduled Block + $100

In EXCEPTIONALLY RARE INSTANCES cancellation fees may be waived or modified at the sole discretion of AeroVenture management on a case-by-case basis. Instructor may be re-assigned if a client does not call or arrive within 30 minutes of the scheduled time and does not provide notification. If a client arrives within this window, billing will commence from the scheduled start time of the scheduled block.

I understand that if I cancel more than three (3) lessons consecutively and/or cancel habitually as determined by AeroVenture management, AeroVenture has the right to cancel all future bookings and provide those slots to other clients. I understand that any future bookings will be on a first-come, first-served basis.

RIGHT TO REFUSE SERVICE

AeroVenture reserves the right to refuse aircraft rental and flight instruction to anyone at any time. Clients demonstrating dangerous decision making skills, displaying signs of anger management problems, who are disrespectful to AeroVenture staff, refuse to follow company policies or are involved in an accident or incident may be refused rental of our aircraft. It is not our intention to refuse service, but safety and the well-being of our clients, staff, and aircraft is our number one priority.

AEROVENTURE PROGRAM PARTICIPATION WAIVER

THIS VOLUNTARY RELEASE OF RIGHTS AND WAIVER OF LIABILITY is executed by the Participant identified herein, and his/her parent or legal guardian identified herein, in favor of Allen Aviation LLC d/b/a AeroVenture, AeroVenture Flight Center, et al.

WHEREAS, we, the undersigned, have been made aware and understand that to participate in any part of the Allen Aviation LLC flight training center programs, including airplane rides, carries with it certain dangers, hazards and risks associated with those activities. I understand that these risks include the potential for serious bodily injury or death that may arise from the inherent nature of these activities. These risks include, but are not limited to hazardous, uncertain, or unpredictable wind or weather conditions or other acts of nature, mechanical malfunction or equipment failures with possible defects in design, manufacture or assembly, improper or careless use; negligent actions wholly or partly caused by other third parties beyond the control of Allen Aviation LLC; transmission of infectious disease, whether related to the novel coronavirus SARS-CoV-2, (which causes the disease COVID-19) or other pandemics, epidemics, disease outbreaks, public health emergencies or otherwise; accidents caused by a variety of human factors, medical conditions of the participant and/or Allen Aviation LLC personnel, whether any of these conditions, acts or risks are foreseen or unforeseen, contemplated or not contemplated, obvious or hidden, or through omission or commission, negligence or freely and voluntarily choose to participate in these activities with full knowledge of these risks;

NOW, THEREFORE, in consideration of the mutual covenants and conditions contained in this Release, the undersigned hereby agree as follows:

I, an adult Participant or parent (parent agreeing for himself or herself and on behalf of a minor child or ward who is a Participant), to the maximum extent allowed by law hereby agree to release and discharge Allen Aviation LLC, Town of Mansfield, and Mansfield Municipal Airport as well as each and every entity or company that owns and/or operates under the “AeroVenture” name and their respective owners, officers, employees, agents, representatives, successors and assigns (collectively, “Released Parties”) from all claims, liabilities, damages and losses asserted by or on behalf of me or the minor Participant in any way arising from or connected with my, or the minor’s, enrollment or participation in an activity of or related to the flight training center, the use of its equipment and facilities, or otherwise moving about the premises of the flight training center and remote sites and transportation to or walking to activity sites. I understand that in signing this Agreement, I surrender my, and the child’s, right to make a claim or file a lawsuit against a Released Party for personal injury, property damage, wrongful death, products liability or under any other theory, to the maximum extent allowed by law.

I further agree to hold harmless and indemnify (that is, defend and either pay or reimburse) the flight training center and the other Released Parties from any claim and from any liability, loss, damages or expenses (including attorneys’ fees) resulting from 1) a claim brought by a co-Participant or any other person for loss or damage caused by my, or the minor Participant’s, acts or omissions; and 2) a claim brought by any member of my or my minor child’s family in any way arising out of my or the minor’s enrollment or participation in an activity of or related to the flight training center, the use of its equipment and facilities, or otherwise moving about the premises of the flight training center and remote sites and transportation to or walking to activity sites.

These agreements of release and indemnity include loss, damage or expense claimed to have been caused in whole or in part by the negligence of a Released Party, but not gross negligence or intentionally wrongful conduct.

Participant is fully responsible for his/her own expertise: While the flight training center offers orientation, education, and training for all types of flight and ground certificates and ratings, Participants bear the responsibility for duly seeking out and completing the appropriate initial orientation, education, and/or training courses before engaging in any such activities. Participants also agree to seek out and complete any retraining or refresher courses should they consider it necessary at any time. A pilot who has achieved at minimum a student pilot certificate, bearing valid and current credentials and a valid, current solo endorsement in effect becomes a Pilot in Command when flying aircraft without an instructor on board. As such, Federal Aviation Regulation 14 CFR § 91.3 provides for the responsibility and authority of the pilot in command, namely that: (a) The pilot in command of an aircraft is directly responsible for, and is the final authority as to, the operation of that aircraft; (b) In an in-flight emergency requiring immediate action, the pilot in command may deviate from any rule of this part to the extent required to meet that emergency; Each pilot in command who deviates from a rule under paragraph (b) of this section shall, upon the request of the Administrator, send a written report of that deviation to the Administrator. Further, as a Pilot in Command, the pilot must adhere to ALL Federal Aviation Regulations, including but not limited to, 14 CFR § 91.103 - Preflight action.

Photo/Video Release: I consent to the reproduction and use by the flight training center of photographs, videos and other images and sound recordings of me, or the minor, without compensation, for advertising or other purposes in any and all media now existing or hereafter developed. I release the flight training center and other Released Parties from liability for any violation of any personal and/or proprietary right I or the child may have in connection with such reproduction or use.

Assumption of Risks: If I am an adult Participant or parent, I hereby acknowledge the risks described above and their inherency, and that other risks, known and unknown, inherent and otherwise, may be encountered. I expressly accept and assume all the risks, known and unknown, inherent or not, and whether or not described above, of enrollment or participation in an activity of the flight training center, the use of its equipment and facilities, or otherwise moving about the premises of the flight training center and remote sites and transportation to or walking to activity sites. If I am the parent of a minor Participant, I have discussed the activities, responsibilities and risks with the minor child who understands and accepts them, and I, to the fullest extent permitted by law, accept them on behalf of such minor child. This Release shall be effective and fully binding upon my heirs, next of kin, executors, administrators, and assigns in the event of my death.

I have been given ample time to read this Release, and each of the undersigned fully accepts its contents and conditions and agrees to them by signing this Release voluntarily. I am are aware that by signing this document that we are waiving certain legal rights which I or my heirs, next of kin, executors, administrators, and assigns may have against the Releasees.
