Definitions

 

Organisation - means Onboard Skatepark Sheffield Ltd

GDPR -means the General Data Protection Regulation.

Responsible Person - means Amy Cooper & Jane Fryer

Register of Systems - means a register of all systems or contexts in which personal data is processed by the organization

1. Data protection principles

Onboard Skatepark Sheffield Ltd is committed to processing data in accordance with its responsibilities under the GDPR.

Article 5 of the GDPR requires that personal data shall be:

a.  processed lawfully, fairly and in a transparent manner in relation to individuals;
b.  collected for specified, explicit and legitimate purposes and not further processed in a manner that is incompatible with those purposes; further processing for archiving purposes in the public interest, scientific or historical research purposes or statistical purposes shall not be considered to be incompatible with the initial purposes;
c.  adequate, relevant and limited to what is necessary in relation to the purposes for which they are processed;
d.  accurate and, where necessary, kept up to date; every reasonable step must be taken to ensure that personal data that are inaccurate, having regard to the purposes for which they are processed, are erased or rectified without delay;
e.  kept in a form which permits identification of data subjects for no longer than is necessary for the purposes for which the personal data are processed; personal data may be stored for longer periods insofar as the personal data will be processed solely for archiving purposes in the public interest, scientific or historical research purposes or statistical purposes subject to implementation of the appropriate technical and organizational measures required by the GDPR in order to safeguard the rights and freedoms of individuals; and
f.  processed in a manner that ensures appropriate security of the personal data, including protection against unauthorized or unlawful processing and against accidental loss, destruction or damage, using appropriate technical or organizational measures.”

2. General provisions

a.  This policy applies to all personal data processed by our organisation.
b.  The Responsible Person shall take responsibility for Onboard Skatepark Sheffield Ltd ongoing compliance with this policy.
c.  This policy shall be reviewed at least annually.

3. Lawful, fair and transparent processing

a.  To ensure its processing of data is lawful, fair and transparent, Onboard Skatepark Sheffield Ltd shall maintain a Register of Systems.
b.  The Register of Systems shall be reviewed at least annually.
c.  Individuals have the right to access their personal data and any such requests made to Onboard Skatepark Sheffield Ltd shall be dealt with in a timely manner.

4. Lawful purposes

a.  All data processed by Onboard Skatepark Sheffield ltd must be done on one of the following lawful bases: consent, contract, legal obligation, vital interests, public task or legitimate interests.
b.  Onboard Skatepark Sheffield Ltd shall note the appropriate lawful basis in the Register of Systems.
c.  Where consent is relied upon as a lawful basis for processing data, evidence of opt-in consent shall be kept with the personal data.
d.  Where communications are sent to individuals based on their consent, the option for the individual to revoke their consent should be clearly available and systems should be in place to ensure such revocation is reflected accurately in the Charity’s systems. 

5. Data minimisation

a.  Onboard Skatepark Sheffield Ltd shall ensure that personal data are adequate, relevant and limited to what is necessary in relation to the purposes for which they are processed.
b.  Data will be processed seeking prior permission from initial registration onto our data base

6. Accuracy
a.    Onboard Skatepark Sheffield Ltd shall take reasonable steps to ensure personal data is accurate.

b.  Where necessary for the lawful basis on which data is processed, steps shall be put in place to ensure that personal data is kept up to date.

7. Archiving / removal

a.  To ensure that personal data is kept for no longer than necessary, Onboard Skatepark Sheffield ltd shall put in place an archiving policy for each area in which personal data is processed and review this process annually.
b.  The archiving policy shall consider what data should/must be retained, for how long, and why (covered in our safeguarding policy).

8. Security

a.  Onboard Skatepark Sheffield Ltd, shall ensure that personal data is stored securely using modern software that is kept-up-to-date. 
b.  Access to personal data shall be limited to personnel who need access and appropriate security should be in place to avoid unauthorised sharing of information.
c.  When personal data is deleted this should be done safely such that the data is irrecoverable.
d.  Appropriate back-up and disaster recovery solutions shall be in place.

9. Breach

a.  In the event of a breach of security leading to the accidental or unlawful destruction, loss, alteration, unauthorised disclosure of, or access to, personal data, the organisation shall promptly assess the risk to people’s rights and freedoms and if appropriate report this breach to the ICO.

Review Onboard Skatepark Sheffield Ltd Privacy Policy

COVID-19 UPDATE - PLEASE READ BEFORE BOOKING:

  • No gathering in groups larger than 6 people or 2 household bubbles.
  • Riders must be aged 12+ to be left unattended.
  • Only 1 spectator per household.
  • Wait outside until your session is open, staff will call you in when the skatepark is ready. 
  • All customers will be required to leave the building at the end of every session to enable staff to clean and sanitize all touchpoints.
  • Face masks must be worn by everyone aged 12+ when entering, exiting and moving around the building (you do not need to wear a mask while riding or with a valid exclusion certificate).
  • Ensure you follow all instructions issued by staff on entry.
  • Please do not visit if you have suspected symptoms of COVID-19 or if anyone in your household has tested positive for, or is self-isolating with suspected COVID-19. 
  • Maintain greater than 1 meter distance at all times. Take extra care when waiting your turn or while crossing paths in the corridors.
  • Wash and sanitise your hands regularly and use the hand sanitiser stations provided each time you enter or leave an area. Avoid physical contact with others including high fives and fist bumps.
  • Hire equipment is unavailable, bring everything you need with you, including protective equipment.
  • Do not share equipment during your session, including cameras and mobile phones.
  • Track & Trace - our official NHS QR code posters are on display for all spectators if you wish to check in. Participants will already be tracked and traced through our internal system. 
  • Ride/skate within your ability. Avoid putting the NHS under any more pressure.
  • Onboard Skatepark Sheffield Ltd takes no responsibility for anyone contracting COVID-19 on our premises. 

Skatepark Rules

  • You must pay at the reception, or have pre-paid online prior to entry for your session.
  • Using the skatepark without paying is treated as theft and those caught will be removed from the skatepark and subject to a ban.
  • Respect other riders and ride responsibility and within your limits.
  • Do not move or re-arrange obstacles without permission from a staff member.
  • Show patience when riding with beginners and offer help if at all possible/or is needed.
  • Your equipment is your responsibility. Leave your equipment/personal belongings at your own risk. Onboard Skatepark Sheffield Ltd do not accept responsibility for loss or damage of equipment/personal belongings.
  • Online abuse will not be tolerated through social media channels. If involvement of such negativity is reported you will not be granted entry to the skatepark.
  • There is no excuse for abuse (verbal and physical) and if you display such behavior you will be asked to leave.
  • Helmets must be worn by all participants under 16 years old and Onboard Skatepark Sheffield Ltd also recommend that all participants, regardless of age, wear personal safety equipment.
  • The minimum age to participate is 5 years old.
  • All under 12 year olds should be supervised by a suitable guardian/parent.
  • It is your responsibility to ensure that your equipment is in good working order.
  • No food or drink may be consumed in the skatepark area.
  • Spectators must not enter the riding/ramps area.  There is a viewing gallery.
  • Participants will not be directly supervised by an instructor.
  • Parking facilities are available at this site and any vehicles are left at their owner’s risk.
  • Safety rules are written up in the entrance of Onboard Skatepark - you must read these prior to entry and abide by them for your own safety.

Filming and Photography

  • Filming and photography is an integral part of the activities and is permitted at Onboard Skatepark Sheffield Ltd.
  • Please be aware by signing and agreeing to these terms and conditions you are agreeing that you and your child can be filmed whilst undertaking activities at Onboard Skatepark Sheffield Ltd and the footage may be used for publicity and online media and social media channels.

Acknowledgement of Risk

  • I am aware that skateboarding, BMX riding, in-line skating, scooting, parkour and other related sports are physical activities and I have sought medical advice for any ailments which may put me at risk. I therefore agree to participate at my own risk.
  • I have read fully the ‘terms and conditions of use’ and agree to abide by them.
  • I will follow all instructions given to me by any member of Onboard staff.
  • I accept that all sports carried out in the skatepark, community or designated areas can be extremely dangerous and may result in injury or even death.
  • I consent to any emergency medical/first aid treatment necessary during the course of the activity.
  • I parent/guardian (if under 18) hereby release and absolve Onboard Skatepark Sheffield Ltd, its subsidiaries, staff, employees, directors and trustees from all liabilities and responsibility for injuries, sickness, accidents, loss of money and property that may be sustained whilst participating in training, workshops, enrichment sessions & competitions.
  • In consideration of my signing this release form, I am allowing myself/my child to participate in Onboard Skatepark Sheffield Ltd events and activities as above and intend to be legally bound and agree to waive and release all rights to claim injury or accident whilst taking part in such activities. Should Onboard staff, feel in their professional opinion that I am not physically able to participate then I respect this decision and I/my child will cease activity.
