Rules of the SAC (Student ACES Center)

  1. Respectful Conduct: Disorderly behavior, including loud noise, running, play fighting, or any disruptive actions that may cause injury or damage SAC property, is not allowed.
  2. Care for the Space: Do not place hands or feet on the walls or vandalize any part of the SAC, including equipment, furniture, landscaping, or other property.
  3. No Theft or Unauthorized Removal: Materials, equipment, or property should not be removed from the SAC without permission.
  4. No Harassment: Harassment, whether verbal or physical, of any SAC members, guests, or staff is strictly prohibited. This includes the use of profanity, intimidation, sexual harassment, or any form of discrimination based on race, religion, ethnicity, gender, or sexual orientation.
  5. Respect Privacy and Boundaries: Indecent exposure, voyeurism, or any inappropriate or lewd behavior will not be tolerated.
  6. Tobacco-Free Zone: Smoking, vaping, or the use of tobacco products (including electronic cigarettes and hookahs) is strictly prohibited on SAC premises.
  7. Weapons-Free Zone: Firearms or any other weapons are not allowed in the SAC.
  8. Substance-Free Environment: Possession, use, or being under the influence of alcohol or illegal drugs is prohibited.
  9. Safe Environment: Bikes, skateboards, roller skates, scooters, or other wheeled devices are not to be used inside the facility.
  10. Appropriate Attire: Shirts must be worn at all times, and clothing that exposes the chest is not permitted. SAC staff may request any student to change attire or leave the premises if not adhering to the dress code.
  11. No Unauthorized Selling or Soliciting: Selling products or services or soliciting for personal gain is not allowed without prior approval.
  12. Visitors and Guests: Guests or visitors who are not SAC members will not be granted access without authorization from the SAC Director.
  13. Food and Drink Policy: Food and beverages are only permitted in designated areas and must be kept away from computers and technology.

Minor Violations

Minor violations to the rules of the SAC will be handled on a case-by-case basis. Students will meet with staff to discuss punishment and repercussions. 

No Tolerance Policy

There is no tolerance for Drugs, Alcohol, Weapons, Sexual Activity, Theft, Bullying and Violence. You will be immediately dismissed from the Student ACES Center if found in violation of the No Tolerance Policy. 

Dismissal

If dismissal from the Student ACES Center is warranted, parents/ guardians of the student will receive a phone call, student will turn in his/her ID card and parent’s will receive a letter outlining reasons for dismissal and paste the body of your waiver here. 

II. Procedures and conditions under which student bags may be searched

Scope

This policy applies to all students enrolled in the afterschool program, as well as staff members responsible for supervising and conducting searches.

Definitions

Search: The act of examining a student's bag to find any items that are prohibited or pose a threat to the safety and security of the school environment.

Prohibited Items: Items that are not allowed in the school or afterschool program, including but not limited to weapons, drugs, alcohol, stolen property, and any other items deemed dangerous or disruptive.

Authority to Search

·       Searches may be conducted by SAC staff, including program coordinators, supervisors, and security personnel.

·       Searches will only be conducted if there is reasonable suspicion that a student possesses prohibited items.

·       On field trips students must bring clear bags and all bags will be searched prior to leaving for the field trip. 

Reasonable Suspicion

Reasonable suspicion is based on specific, objective, and articulated facts that a student may have prohibited items in their possession. Factors that may contribute to reasonable suspicion include:

·       Reports from credible sources

·       Observable behavior indicating potential possession of prohibited items

·       Other relevant information that leads staff to believe a search is necessary

Procedure for Conducting Searches

Notification: Before conducting a search, the student will be informed of the reason for the search and given an opportunity to voluntarily hand over the item(s) in question. Reasons will be documented for reporting. 

Presence of a Witness: Another staff member must be present during the search to serve as a witness and ensure that the search is conducted appropriately and respectfully.

Conducting the Search: The search should be conducted in a private area, away from other students, to maintain the student's dignity and privacy.

Minimizing Intrusiveness: The search should be limited to the student's bag and any other belongings that could reasonably contain the item(s) in question. Physical searches of the student are not permitted.

Documentation: The details of the search, including the reason, process, and outcome, must be documented immediately after the search.

Handling Found Items

Prohibited Items: If prohibited items are found, they will be confiscated, and appropriate disciplinary actions will be taken in accordance with the Student ACES Centers disciplinary policy.

Illegal Items: If illegal items are found, law enforcement will be notified immediately.

Return of Items: Non-prohibited items found during the search will be returned to the student.

Parental Notification

Parents or guardians will be informed of the search and its outcome as soon as possible. In cases where illegal items are found and law enforcement is involved, parents will be notified immediately.

Rights and Responsibilities

Students: Students have the right to privacy and to be treated with respect and dignity. They are responsible for adhering to Student ACES Center rules and regulations regarding prohibited items.

Staff: Staff members are responsible for ensuring the safety and security of the afterschool program environment and conducting searches in a fair, respectful, and non-discriminatory manner.

Training

Staff members authorized to conduct searches will receive training on the legal and ethical aspects of conducting searches, including respecting students' rights and maintaining professionalism.

Review and Revision

This policy will be reviewed annually and revised as necessary to ensure it remains effective and up to date with current legal standards and best practices.

  • The student must surrender their ID card upon dismissal.
  • A formal letter will be sent to the parents/guardians, outlining the reasons for the dismissal.

POLICIES/RULES/REGULATION ACKNOWLEDGEMENT

By signing below, I verify that I have received a copy of Student ACES/SAC policies/rules/regulations listed below and understand that I am responsible for reading the policies/rules/regulations. I understand that my child(ren) or myself must follow the policies/rules/regulation. I understand that any violations of these or any other organization policy, practice or procedure will subject my child(ren) or myself to disciplinary action up to and including expulsion from the organization. I also understand that the policies/rules/regulations may be modified at any time. 

 

AUTHORIZATION FOR MEDICAL TREATMENT

In the event that my child or myself is injured or needs medical care while at the Student ACES/SAC or on a field trip and I/we cannot be reached, I/We authorize the Student ACES/SAC to obtain medical and/or hospital care on an emergency basis and I/we will be financially responsible for such care.

 

PHOTOGRAPH & VIDEO PERMISSION

I hereby grant the Student ACES/SAC, its subsidiaries, successors, assignees and licensees the absolute right and permission to copyright, use, publish and distribute any and all photographs and videos in which my child(ren) or myself, named at the top of this form, may be included for editorial, advertising, art broadcast or promotion, without restriction.

 

PARTICIPATION WAIVER

I/We (student or the parents of the child/ren) referenced at the top of this form understand that Student ACES/SAC makes available organized athletic, recreational and educational activities for its members. I/We (student or the parents of the child/ren) understand that there are always dangers and risks connected with participation in such activities (particularly contact sports) and as Parent(s)/Guardian(s) if the member(s) named at the top of this form, I/We (student or the parents of the child/ren) hereby give (my/our) approval of participation in all activities of the SAC. I/We (student or the parents of the child/ren) understand that the SAC consents to participation only upon the condition of my/our acceptance of responsibility for any and all such risks and dangers (including any risks associated with transportation to or from the SAC or any SAC activity) and I/We (student or the parents of the child/ren) do hereby release, indemnify and hold harmless Student ACES/SAC, the organizers, sponsors, supervisors, and staff of all its’ activities, from any and all liability in release and hold harmless from any person transporting him/her to or from any Club activities. I have read the completed application, understand the rules of Student ACES/SAC Organization and request that my son/daughter be admitted into membership or participate in program offerings.
