VR Therapies CIC (“us”, “we”, or “our”) operates the https://www.vrtherapies.co.uk website (hereinafter referred to as the “Service”).

Usage Data

We may also collect information on how the Service is accessed and used (“Usage Data”). This Usage Data may include information such as your computer’s Internet Protocol address (e.g. IP address), browser type, browser version, the pages of our Service that you visit, the time and date of your visit, the time spent on those pages, unique device identifiers and other diagnostic data. CCTV is used in the premises to safeguard customers and staff.

Location Data

We may use and store information about your location if you give us permission to do so (“Location Data”). We use this data to provide features of our Service, to improve and customise our Service.

You can enable or disable location services when you use our Service at any time by way of your device settings.

The storage of CCTV data is recorded and deleted quarterly.

Tracking & Cookies Data

We use cookies and similar tracking technologies to track the activity on our Service and we hold certain information.

Cookies are files with a small amount of data which may include an anonymous unique identifier. Cookies are sent to your browser from a website and stored on your device. Other tracking technologies are also used such as beacons, tags and scripts to collect and track information and to improve and analyse our Service.

Analytics

We may use third-party Service Providers to monitor and analyse the use of our Service.

Google Analytics Google Analytics is a web analytics service offered by Google that tracks and reports website traffic. Google uses the data collected to track and monitor the use of our Service. This data is shared with other Google services. Google may use the collected data to contextualise and personalise the ads of its own advertising network. You can opt-out of having made your activity on the Service available to Google Analytics by installing the Google Analytics opt-out browser add-on. The add-on prevents the Google Analytics JavaScript (ga.js, analytics.js and dc.js) from sharing information with Google Analytics about visits activity.

Payments

We may provide paid products and/or services within the Service. In that case, we use third-party services for payment processing (e.g. payment processors).

We will not store or collect your payment card details. That information is provided directly to our third-party payment processors whose use of your personal information is governed by their Privacy Policy. These payment processors adhere to the standards set by PCI-DSS as managed by the PCI Security Standards Council, which is a joint effort of brands like Visa, MasterCard, American Express and Discover. Virtual Reality is a VERY immersive experience and can affect everyone differently. Please read the following disclaimer.

By attending any "VR THERAPIES C.I.C." locations or events, you release VR THERAPIES C.I.C. from any and all liability - financial or otherwise - that may arise from your attendance to the fullest extent of the law.

You agree to take responsibility for yourself and all minors/children which attend as part of your booking, and release VR THERAPIES from any liability - financial or otherwise - that arise from their attendance to the fullest extent of the law.

You understand that you will not be aware of your physical surroundings and what that means for your safety, those attending with you and those around you. You must not interfere with those with a VR headset on and will not encourage others either.

You understand that some people experience nausea, disorientation, motion sickness, general discomfort, headaches or other health issues when experiencing virtual reality.

A very small percentage of people may experience a seizure when exposed to certain visual images, including flashing lights or patterns that may appear in video games. Even people who have no history of seizures or epilepsy may have an undiagnosed condition that can cause these “photosensitive epileptic seizures” while playing video games.

Parents should watch for or ask their children about the above symptoms. Children and teenagers are more likely than adults to experience these seizures. If you or any of your relatives have a history of seizures or epilepsy, consult a doctor before playing video games.

You confirm you agree to pay for any and all damages caused by yourself or anyone else in your party, however they may be caused to VR THERAPIES equipment or property.

Pre-existing Medical Conditions:

People who have previous medical conditions such as severe headaches, ear-aches, or psychiatric disorders, should see a doctor before using our VR headsets. Some people may experience seizures triggered by flashing lights or patterns while experiencing virtual reality, even if they have never had a seizure before, or have no history of epilepsy or seizures. Anyone who knows or believes they may have previously experienced a seizure or other symptom linked to an epileptic condition should see a doctor prior to using our VR headsets.

Motion Sickness:

People who are prone to motion sickness have a risk of experiencing discomfort when using Virtual Reality. Do not use when you are sleep deprived, are under the in fluence of drugs or alcohol, or have digestive problems.

Age Restrictions:

Is there an age restriction?

There is no upper age limit and we encourage those of any age to experience the true power of Virtual Reality, there is something for everyone.

8 years and above.

Younger children may not fit the headset/controllers comfortably and may unintentionally cause damage to the equipment. For those under the age of 10, we highly recommend a 30-minute session.

Please contact us if you are looking to bring a child younger than 8 years old and we can discuss possible options available.

It is the parent/guardian who is hiring the VR Equipment for the session and all games and experiences are provided for free. We have placed the games and experiences into categories to help parent/guardians select appropriate games for children as titles are age rated just like films. It is the responsibility of the parent/guardian to ensure children play games suited to their age. Speak with a member of the team if you would like us to confirm the age rating on titles and make suitable game recommendations.

All children must be supervised by a responsible parent/guardian at all times. All damages, however they are caused, must be paid for.

Children under the age of 14 must be accompanied by an adult over the age of 18. Children under the age of 18 are not able to play games that carry a mature age restriction content. Children over the age of 14 must have a parent or guardian counter sign and complete our disclaimer before attending.

VR RACING/DRIVING

Minimum height: 150cm (1.5m/4ft 9in)

Younger children may not be able to reach the pedals or be able to comfortably use the equipment and may unintentionally cause damage. All damages must be paid for in full.

The steering wheels have force feedback, which may be too strong for young players.

You’ll also need to consider your child’s ability as the racing can frustrate some children who may not be able to control them successfully.

All children must be supervised by a responsible parent/guardian at all times.

All damages, however they are caused, must be paid for.

Photosensitivity and Epilepsy

Some people experience nausea, disorientation, motion sickness, general discomfort, headaches or other health issues when experiencing virtual reality.

TERMS & CONDITIONS


By using our services you accept to abide by the following terms.

1.     All children under the age of 16 are required to be supervised by a relevant adult aged 18+ at all times.

2.     Refunds for any money paid in advance of a booking will only be provided if cancelled and confirmed by the venue 24 hours before the booking is due to take place. After this time no refund or changes can be made. Booking fees are non-refundable.

3.     Full payment is taken at the time of booking, and players agree to the liability waiver before their session starts.

4.     All users must listen to staff on how to use our equipment properly and how to request staff assistance within the games before session commences.

5.     Regrettably, as with all technology – the highly advanced nature of virtual reality means that our equipment may sometimes malfunction. Our staff endeavour to rectify these issues as quickly as possible. We ask for player’s patience during this process and any session time lost will be compensated back to the player. On occasions where it is not possible to compensate play session time then any time lost will be credited back to the player to use on a future booking.

6.     In the case of unforeseen circumstances (i.e. equipment malfunction, electricity failure) when an entire booking cannot be honoured then a full refund will be provided or an alternative time slot can be booked.

7.     Players must notify staff if they have any illnesses which could be passed onto other users.

8.     Staff will assist users in putting on the headset at the start of a session. Users can fit or remove their own VR headsets unaided as long as they take care with the equipment. Staff can assist users to fit and remove headsets if required.

9.     For safety, all spectators and non-players must keep clear of the play zone areas and not interfere with players using the equipment. Be mindful that users wearing a VR headset whilst playing on our equipment will not be able to physically see you in the real world. Touching or pushing players while they’re in VR can cause serious harm and damage to equipment.

10.  All damaged caused to equipment during a session by players must be paid for in full.

11.  We may occasionally photograph or record players using our equipment during their sessions. By making a booking, you give us the right to use these photographs and footage in our marketing material. If you do not wish to be recorded in photos or video, then you must make staff aware before arriving at the venue.

12.  We reserve the right to refuse to serve a customer if we suspect they are under the influence of drugs, alcohol or are rude and abusive to our staff.

13.  We reserve the right to refuse to serve a customer if we suspect that they will be unable to safely use our equipment without causing injury to themselves, others or damage to our property.

Data protections:

- Customers have the right to access their data that we store about them if they ask. We have one month to respond.

- Customers have the right to have personal data erased from our records.          

 - Customers have to give their consent for us to keep their data which is done by booking a session.

 - CCTV is used in the premises to safeguard customers and staff.

14.  We reserve the right to end play time early with no refund given if users do not follow any staff instruction and their behaviour (or any of their group’s behaviour) is deemed to be inappropriate or at risk of causing injury to themselves, others or damage to our property.

15.  In case of causing intentional damage to our equipment, we reserve the right to report offenders to the police and take legal action to recover cost for damages.

16.  It is parent responsibility to ensure children are not accessing content which is deemed unsuitable for their age. We are available for advice as to what content is suitable for the age group in question.

17.  Session time starts once the staff demonstration of the equipment has been completed and the user is ready to start playing. or at the booked start time, whichever comes first. It is not possible to pause player session time in the headsets due to other bookings that may be arriving after the session ends.

18.  If arriving late your session time will have already started. This means you may have reduced play time from your session as it would otherwise impact on other sessions after your booking if it were to be extended.

19.  If arriving early your session time may start from an earlier time, however you will not gain any additional time and your booked time will start from then.

20.  You should arrive 10 minutes before your sessions time to ensure you’re booked in; waiver is signed and we can talk you through how to use VR. Arriving late may mean you’ll lose time as other sessions may be booked after yours. No refunds will be given for late arrivals.

21.  Unless otherwise stated, booked session time is not interchangeable and cannot be split between playing on the various item’s equipment at the venue. Each item of equipment must be booked separately. Each item of equipment requires a separate booking but may be booked sequentially to begin after your first booking on one piece of equipment ends – subject to availability. (i.e if you wanted to play our VR Activity session and then try out our VR Racing – you would need to book the VR Activity Session first and then make a separate booking for VR Racing to begin after your VR Gaming Session ends).

22.  We take no responsibility for personal possessions brought onto the premises. Storage lockers are provided for user convenience only and we will not be liable for any loss, damage or theft of items.

23.  Our Monthly Racing Leader board runs from the 1st to the last day of each month. Customers can choose as part of their booked racing sessions to use the selected car and track for that month, and use whatever driving difficulty the wish. They can attempt to set their fastest time as many times as they wish within their sessions. It is the responsibility of the player to notify a member of staff if they’ve set a time which they want to be logged on the leader board. On the 1st day of the following month the person with the fastest time will be issued with a free VR Racing session via email. Each month the winners name will be added to our website.

24.  We strive to make your experience as enjoyable as possible. All feedback is welcomed, however in the unlikely event that you are unhappy with your experience then any complaints must be logged and recorded by the duty manager before leaving the venue. Complaints will not be upheld if the venue is first notified of an issue after you have left the venue.

25.  VR THERAPIES C.I.C. cannot be held responsible for any personal belongings.

26.  All special offers or discount codes can only be applied at the time of a booking, they cannot not be used after or any adjustments made for not using them at the time of booking. We reserve the right to withdraw any offers at any time, without notice. All offers are subject to availability plus any additional terms details when advertised.

Health advisory information

VR experiences are highly immersive and the very nature of virtual reality is designed to be extremely realistic. This level of immersion may cause you to experience intense emotions and sensations, all of which are perfectly safe but add to the fun and excitement of using our equipment.

Please ask a team member for information on:

  • Content advisory- giving information about elements of the experience that could be offensive or inappropriate for some guests (e.g. bad language, adult humour, violence, etc).
  • VR experience advisory – giving information about elements of the experience that could be stressful or unpleasant for some guests (e.g. extreme heights, sudden scares etc).


Below is a list of potential issues which may arise as a result of participating in a VR experience. Please read the list carefully and think about how these issues could affect you before deciding to proceed.

  • Use of the VR headset may cause eye strain.
  • Extensive or excess high noise levels may harm hearing.
  • Screens may flicker and / or there may be flashing images which may trigger underlying health conditions.
  • Use of the headset may induce feelings of motion sickness.
  • Use of the technology may interfere with some medical devices (e.g. cardiac pacemaker). Users of medical devices should consult with their doctor before participation.
  • The technology and some content may not be suitable for those with pre-existing medical or mental health conditions.
  • Content and physical body activity required to participate fully in some experiences (i.e jumping, ducking, moving rapidly) may not be suitable for users that are pregnant or in poor physical health.
  • Use of the technology and content may induce feelings of claustrophobia, other phobias or panic.
  • Objects in the real world may not be visible in the virtual world.
  • Objects in the virtual world may not exist in the real world.
  • Feelings of disorientation may be felt at the end of the experience.
  • Repeated, intensive use may exaggerate the effects above.

You must not participate in an experience if you are tired, feel unwell, under the influence of alcohol, drugs, are hung-over, in pain, stressed or feel anxious as these factors can increase your risk of potential issues.

 If you have any health & safety questions or concerns before, during or after your experience then please inform a member of staff straight away.
