This Venue Rental Agreement ("Agreement") is made between Club Joyful ("Venue Owner/Operator") and the undersigned party ("Renter"). By signing this Agreement, the Renter agrees to the terms and conditions set forth herein for the use of the venue space. 1. Venue Rental The Renter is granted the right to use the designated venue space at Club Joyful for a private, non-commercial event. Any other use of the venue requires prior written permission from Club Joyful. 2. Rental Fee & Payment Terms Payment is due in two installments: 50% at the time of booking, and the remaining balance 3 days prior to the event. If booking is made less than 30 days before the event, full payment is required at the time of booking. 3. Cancellation & Refund Policy - If the Renter cancels more than 30 days prior to the event, a full refund will be provided, minus a $150 cancellation fee.
- Cancellations made within 29 days of the event are non-refundable.
- Deposits paid toward services like entertainers, staff, or food are non-refundable..
- Weather Clause: Events cannot be canceled or rescheduled due to weather unless the venue is directly impacted and unsafe for use. No refunds will be issued for weather-related cancellations.
4. Permitted Use & Event Restrictions - Amplified music is permitted but must comply with local noise ordinances, with no amplified sound allowed after 10 PM.
- Children must be supervised by a parent or legal guardian at all times. Club Joyful is not a drop-off facility.
5. Setup, Deliveries & Cleanup - There is one hour before and one hour after the party start time allocated for setup and cleanup. Setup/decorations and the delivery of rentals must be made within this timeframe.
- Any additional time required for setup or cleanup will be charged at a prorated rate of $300/hour.
- If rental items or other deliveries cannot be made within the one-hour window before the event, additional staffing charges of $30/hour will apply.
- The Renter is responsible for leaving the venue in the same condition it was found. All personal property, decorations, and trash must be removed.
6. Damage to Property The Renter assumes full responsibility and agrees to reimburse for any damage caused to the physical property, professional equipment, or merchandise during the event including any damage caused by guests or vendors. Club Joyful is not liable for damage caused by third-party vendors. 7. Indemnification & Liability Waiver The Renter agrees to indemnify and hold harmless Club Joyful, its employees and any contracted third party vendors from any claims, liabilities, damages, or costs arising from the Renter’s use of the venue, including injury or harm to guests or third parties. The Renter also acknowledges that accidents, illness and injuries can occur and assumes responsibility for all risks associated with the event. 8. Photo Permission Client grants permission for photos and videos to be taken throughout the event that may appear on social and digital media, or will potentially or inadvertently be used for future marketing and promotional purposes. Clients, event staff, attendees or 3rd party vendors who wish to be excluded from granting photo permission must provide notice prior to the start of the event. 9. Governing Law This Agreement shall be governed by the laws of the state in which Club Joyful operates. Client acknowledges that the Club is located adjacent to a residential neighborhood and that noise complaints are possible and out of the Club’s control. This may result in a required reduction in volume, and possibly even the termination of the event. If such occurs, Client agrees to comply with authorities, all laws and regulations, and with the Club to remedy the situation. In the unlikely scenario where the Client is required to terminate the event due to excessive noise, unruly behavior, or nuisances caused in the area, Client understands that no refunds will be provided. By signing below, the Renter agrees to all terms and conditions outlined in this Agreement.
