Volunteer Code of Conduct

OVERVIEW

The National Warplane Museum is committed to developing event volunteer policies and practices and, in doing so, has implemented a Volunteer Standards of Conduct Policy to increase the safe and supportive environment for all volunteers at the National Warplane Museum.

DEFINITIONS

For the purposes of this policy, the following are defined.

Volunteer: An individual who is specifically supporting the National Warplane Museum in a volunteer capacity. This may include National Warplane Museum members or other individuals who volunteer at the National Warplane Museum during museum operations.

Corrective Action: An action taken by the National Warplane Museum Board of Trustees or their designee(s) to address a violation of this policy.

Severe Violation: Any violation of this policy that leads to (1) significant negative physical or emotional harm on any other individual, or physical harm to event property or (2) substantially hinders the National Warplane Museum’s operation or (3) places the Event Volunteer, any other individual, or event property in an extremely unsafe condition.

PURPOSE

The purpose of this policy is to support a safe and protective environment for volunteers through the establishment of Volunteer Standards of Conduct. This policy is also intended to increase volunteer awareness of how to conduct themselves while supporting the National Warplane Museum.

OBJECTIVE

The objective of this policy is to establish a clear set of expectations for volunteers that are supporting the National Warplane Museum in any volunteer capacity. The codified Volunteer Standards of Conduct is aligned with National Warplane Museum organizational standards and expectations of equivalent organizations.

SCOPE

This policy applies to all individuals serving in any volunteer capacity, including those who are directly affiliated as a volunteer with the National Warplane Museum or those who are indirectly affiliated as a volunteer with a third party or non related organization. This policy applies to all National Warplane Museum volunteers associated with the National Warplane Museum.

RESPONSIBILITY

  1. It is the responsibility of the National Warplane Museum Board of Trustees or their designee(s) to enforce this policy.
  2. It is the responsibility of the Board of Trustees or their designee(s) to ensure that all volunteers are aware of and educated on this policy. It is also the responsibility of the Trustees or their designee(s) to maintain a written record of any reported violation of this policy. It is the responsibility of the Volunteer to adhere to this policy and to report any concerns that pertain to violations of this policy to the Board of Trustees or their designee(s). It is also the responsibility of the volunteer to seek clarity if there is any confusion regarding the Volunteer Standards of Conduct. 
  3. It is the responsibility of all parties noted above to practice and exude the standards of conduct listed in this policy.

POLICY

  • Volunteers should maintain a proactive and protective safety-focused mindset towards the safety and wellbeing of all volunteers, members of the public and customers who are visiting the National Warplane Museum as well as any aircraft, property, or vehicles associated with National Warplane Museum. If you see something, say something. 
  • Volunteers should be proactive in noticing safety issues. Should an unsafe condition arise, event volunteers can attempt to address the condition immediately if it is safe to do so and the event volunteer should also report the unsafe condition immediately to their supervisor.
  • Volunteers shall perform their duties to the best of their ability. This should include responding to communications promptly, and in a courteous manner. Volunteers shall arrive at the museum on time and ready to perform their expected duties. Volunteers shall arrive in appropriate attire to discharge their duties.
  • Volunteers shall protect against the normalization of deviance in all National Warplane Museum operations. 
  • Volunteers shall act honestly and ethically while in the performance of their volunteer duties regardless of the capacity in which the event volunteer serves or the department or division that the volunteer serves in.
  • Volunteers shall treat all other volunteers, members of the public, customers, and other individuals not specifically named both who attend the National Warplane Museum and those who interact with the organization on social media with respect, courtesy, and dignity.  
  • If a volunteer encounters other volunteers, members of the public, customers, or other individuals not specifically named who display aggressive, inappropriate, or disruptive behavior that cannot be remedied through conversation, or who the event volunteer feels unable to address in a respectful and professional manner, the volunteer should immediately contact their supervisor. 
  • Volunteers shall not discriminate based on a person's national origin, race, color, religion, disability, sex, or familial status and shall be respectful of all ethical, natural, cultural and other differences not specifically named of all other volunteers, members of the public, customers, or other individuals not specifically named.
  • Volunteers shall not harass, bully, or mistreat in any way other volunteers, members of the public, customers, or other individuals not specifically named.
  • Volunteers shall obey all applicable local, state, and federal laws, while acting on behalf of the National Warplane Museum.
  • Volunteers shall deter wrongdoing and ensure accountability for adherence to the Volunteer Code of Conduct.
  • Volunteers shall assist and cooperate with all investigations initiated by the National Warplane Museum or other investigating body.
  • Volunteers shall report violations or suspected violations of the Volunteer Standards of Conduct to their supervisor or to a member of the Board of Trustees.
  • Volunteers shall seek assistance if they have questions about this policy from their supervisor or from a member of the Board of Trustees.
  • Volunteers are responsible for their own physical health and safety and mental wellbeing while discharging their volunteer duties. Any event volunteer who feels they are unable to perform their duties due to concerns related to their physical health and safety or mental wellbeing should excuse themselves from volunteer duties or report immediately to their supervisor. 
  • Volunteers shall not smoke, use electronic cigarettes, or other vaping products while outside of designated smoking areas.
  • Volunteers shall not be under the influence or impaired by any prescription, illegal, illicit, or other substances that may lead to impairment including but not limited to mind altering substances such as alcohol, illegal drugs, cannabis, or other substances not specifically listed while actively participating in the capacity of the volunteer.

CORRECTIVE ACTION

The National Warplane Museum will make reasonable attempts to engage in progressive corrective action practices when addressing violations of the Volunteer Standards of Conduct. Engagement in progressive corrective action practices is dependent on the gravity of the violation. Severe violations of the Volunteer Code of Conduct may result in the immediate dismissal of the volunteer.

Progressive corrective action practices could include but are not limited to:

  • Assignment of volunteer to a different project
  • Assignment of volunteer to a different event Team
  • Temporary suspension of volunteer’s ability to serve in such capacity

The National Warplane Museum reserves the right to immediately dismiss any volunteer who is found through thorough investigation by the Board of Trustees or their designee(s) to have violated the Volunteer Code of Conduct. This dismissal applies to any individual serving as a volunteer including those who serve in a volunteer capacity during museum operations.  

If a volunteer was found to have committed a severe violation of this policy, the volunteer is required to surrender all National Warplane Museum property in undamaged condition and will then be escorted off of the National Warplane Museum property. The dismissed individual is not permitted to return to National Warplane Museum property even if the individual is a registered member of the museum. Any individual who has been dismissed as an volunteer during previous events is not eligible to return as an volunteer unless otherwise authorized by the National Warplane Museum Board of Trustees. The National Warplane Museum reserves the right to exercise legal recourse if any individual fails to comply with this provision.

CONFIDENTIALITY

Sensitive personal information discovered through the course of any investigation initiated due to a violation or suspected violation of this policy is considered confidential and is made accessible only to the Board of Trustees, and in certain cases, a third party retained by the Board of Trustees to investigate the complaint. 

APPEAL

Any volunteer who is not satisfied with a determination of the National Warplane Museum Board of Trustees or their designee(s), whether the volunteer is subject to corrective action or the volunteer is a suspected victim of a violation of the volunteer Standards of Conduct is permitted to file an appeal by contacting the Board of Trustee
